GDLN Affiliates and clients planning a new GDLN activity anytime after April 2 will be able to use a new tool for handling activity planning and implementation processes. The new GDLN Event Management system (GEM) replaces the existing GDLN Activity Management system (AMS) and includes features to make the processing of events faster and easier, and the use of the system's database as a repository for information more intuitive.
About the GDLN Event Management System (GEM)
Beyond a much more user-friendly look and feel, GEM is easier to navigate and use. GEM can also do much more by helping clients and Affiliates manage activity-related information such as contacts, invoices, agreements, and discussions; and participant information enabling the sending of invitations, pre- and post-event registration and the creation of participant evaluation surveys. Through GEM clients and Affiliates can work directly with each other without necessarily going through a GDLN Activity Service coordinator.
Check list for the transition to GEM
-
All GDLN clients and Affiliates must register in GEM. The first step is to create a new account by register by clicking on the "New User Registration" link from the GEM Home page ( http://gem.gdln.org). The system will send a notice confirming registration and the user can begin planning, scheduling and coordinating GDLN activities through GEM.
-
Becoming familiar with GEM. Clients and Affiliates who have registered in GEM can view the tutorial videos using the "GEM Tutorials" link from the GEM Home page ( http://gem.gdln.org). A HELP manual is also available from the GEM home page and after login.
-
Entering new activities in GEM. Any activities that are planned after April 16 must be entered in GEM.
For ongoing activities - no need to change! GEM is accessible immediately and clients and Affiliates may begin entering new activities once they have registered. New activities must be entered in GEM as of April 16, 2007. AMS will be operational through May 07, and as long as it takes thereafter to finalize processing of activities that began processing before April 16. Activities that are ongoing and that will not be completed by May 31, 2007 will be closed in AMS and created in GEM as a new event.
The GDLN Activity Services team will gladly help answer any questions, assist clients and Affiliates with opening a new account in GEM, and address any other concerns. For specific questions on the GEM systems please send an email to gdlngem@worldbank.org.
