In order for GEM system to perform properly, all GDLN Affiliates must provide the following information. You must be a registered Affiliate user and have the necessary role in the GEM system. See A Guide to GEM User's Oragnization Roles and Access Rights for more information about various Roles. If you are not sure of your role in the system please contact Service Coordinator. Create an Inventory of Services offerred by your Organization Video: How to Add the Service and specify its rate? 1:30 minutes With GEM, you may setup a list of Services, that are offered by your Organization, as a Site/Service Provider. All GDLN Affiliates are highly encouraged to set up the Services offered by them. You can setup these services for your Organization, if you have a role of Organization Administrator, Organization Resource Contact, or Organization Manager. Once the services are setup, they will become available to be added in an Event Proposal, wherever your Organization is involved. You may change the rate of this Service any number of times, after adding to the Event Proposal. It will also be available in the Cost Estimator tool, which is extremely useful for a Client. You may always remove a Service or change its Rate, any time. Step by step directions are also available in GEM Help. Create Inventory of Resources to be managed by your Organization Video: How to Add a Resource? 2:44 minutes With GEM, you may manage the scheduling and booking of your resources such as rooms, equipments, and personnel, as a Site/Service Provider. All GDLN Affiliates are highly encouraged to set up their Resources in GEM. You can setup these resources for your Organization, only if you have a role of Organization Resource Contact. Once the resources are setup, they will become available to be booked for any Session of any Event or even otherwise. Step by step directions are also available in GEM Help. Create a Library of Terms and Conditions GEM allows you to manage a library of your Terms and Conditions. The items from this library will be available when creating an Agreement. You will be able to add any Term/Condition from this library, in any Event Proposal/Agreement, that your Organization is participating. You can create this library by writing your own Terms or by adding from the ones already available in the system. Any contact that is registered for an organization can add a Term/Condition to the Organization Library. For a given Term/Condition, you may even set it, such that it get automatically included, whenever an Agreements is created with your Organization. Moreover, you can also set it, such that a Term/Condition once added to an Agreement, may not be edited. Step by step directions are also available in GEM Help. Add Banking Information for your Organization Video: How to Add Banking Information? 0:40 minutes
Note: Some fields in the banking information form, shown in the video, are no longer needed. So we have removed the fields in the current system. All GDLN Affiliates, must provide their Banking Information, in order to create Invoices. Only user with the role of Organization Administrator or Organization Accountant, can view and change the banking information for their organization.
